Xero, QuickBooks and Sage in growing product brands
Xero and QuickBooks are cloud accounting packages built for small and growing businesses and the accountants and bookkeepers who look after them. Sage has a long history in UK business accounting and is often the choice of firms whose finance teams or external accountants already know it well. Whichever you use, it is usually the first proper system a product brand adopts, well before it has an order management tool or a warehouse partner.
That order of events is why accounting so often ends up disconnected from fulfilment. The books were set up around a founder packing parcels at home; by the time a 3PL is involved, the finance side has its own routines, its own month-end and its own accountant who wants to understand what the warehouse is doing.
Why fulfilment and finance need to agree
Stock is often the largest asset on a product brand's balance sheet, and it physically sits in our warehouse. If what we hold, what your sales channels think you hold and what your accountant values at month-end drift apart, somebody spends a week reconciling it. The operational habits that stop that drift happen on our side: goods-in checked against your purchase orders, regular cycle counts, and live stock and order visibility in the client portal.
Returns matter to the numbers too. Every return is logged against the original order, graded, and restocked or quarantined with a reason code, which gives your finance team a clear explanation for credit notes and write-offs rather than an unexplained stock adjustment.
Wholesale adds another layer. When a retailer places a large order, the stock leaves as cartons or pallets from the same pool as your consumer orders, and your finance team needs confidence that it went out complete. Consolidated shipments and paperwork handled per order help keep that clear.
